The short version
We record and transcribe inbound calls to your business so we can take messages and book jobs. We store call data for 90 days, then delete it. We don't sell it, we don't train public AI on it, and we don't share it with anyone except the providers we need to make the service work (telephony, transcription, hosting). You can request deletion at any time.
Who we are
Your Offsider is a product of Kaizen ICT Pty Ltd (ABN provided on request), an Australian company based in Adelaide, South Australia. When this policy says "we", "us" or "Your Offsider", that's who we mean. You can reach us at privacy@youroffsider.ai.
What we collect
From you (the tradie)
- Business details: business name, trade, services, hours, service area, base address.
- Contact details: your name, mobile, email, optional emergency line.
- Calendar access: if you share your Google Calendar with us, we read availability and write events you've authorised.
- Billing details: handled by Stripe — we never see your full card number.
From your callers
- Audio recording of the call.
- Transcript generated from the audio.
- Caller-supplied details: name, phone number, address, problem description, preferred time.
- Caller ID (the number they rang from), if their network passed it through.
Automatically
- Standard server logs (IP, browser, timestamps) for security and abuse prevention.
- Cookies on this website strictly for keeping you signed in. No third-party advertising trackers.
How we use it
- To answer the phone in your name with your services and hours.
- To text and email you the captured job details after each call.
- To create calendar events when you've authorised it.
- To improve the AI's handling of your account — for example, recognising your common service types. We do not use your calls to train models that other businesses use.
- To send you product emails (you can opt out anytime). Billing and service emails are not optional while you're a customer.
Who we share it with
The minimum needed to run the service:
- Twilio — telephony (call delivery, SMS).
- OpenAI / Anthropic — speech-to-text and language understanding. Our agreements forbid them from training their public models on your data.
- AWS (Sydney) — hosting and storage. Data stays in Australia.
- Stripe — billing.
- Google — only if you've connected Google Calendar.
We don't sell your data. We don't share it with advertisers. We will hand over data when legally required (court order, regulator) and we'll tell you unless we're forbidden from doing so.
Caller consent
The first thing your AI receptionist says includes that the call is being recorded and may be handled by an automated assistant. This is required under Australian state recording laws. If a caller objects, the AI offers to take a voicemail or pass the call through (if you have that option enabled) — without recording further.
How long we keep it
- Call audio: 30 days, then deleted.
- Call transcripts & captured job details: 90 days in your dashboard, then archived for a further 12 months for dispute resolution, then deleted.
- Account & billing records: 7 years after account closure (Australian tax law).
Your rights (and your callers' rights)
- Access: ask for a copy of what we hold.
- Correction: tell us if it's wrong, we'll fix it.
- Deletion: ask us to delete data we don't need to keep for legal reasons.
- Complaint: raise it with us first, then with the Office of the Australian Information Commissioner if you're not happy.

Security
Audio and transcripts are encrypted at rest (AES-256) and in transit (TLS 1.2+). Access inside our team is restricted by role and audited. We've never had a breach; if we ever do, we'll notify affected users within 72 hours and report it under the Notifiable Data Breaches scheme.
Changes to this policy
We'll email you and post a notice on this page if we make material changes. The "last updated" date at the top tells you when this version went live.
